How UUCF collects, uses, shares, and protects information through the public website and member portal.
Unitarian Universalist Congregation of Fayetteville (UUCF) respects the privacy of visitors, members, volunteers, and community participants. This policy describes the information handled through this website and the choices available to you.
Information you choose to provide
The public website collects information that you submit through contact, newsletter, volunteer, governance, and event-registration forms. Depending on the form, this may include your name, email address, phone number, preferred contact method, interests, registration details, consent choices, and the content of your message.
The authenticated member and administrative portal may contain names, private email addresses, account and permission information, congregational roles, biographies, photographs, public-profile choices, meeting and service content, uploaded documents, transcripts, library records, inventory photographs or audio, and records of administrative activity. Passwords are stored using Django’s secure password-hashing system rather than as readable passwords.
Information collected automatically
The website uses essential session and security cookies to support authentication, maintain a logged-in session, protect forms against cross-site request forgery, and operate requested features. Hosting and security systems may also create routine logs containing information such as an IP address, browser or device information, requested page, request time, and errors.
Sunday-service transcript tools use your browser’s local storage to remember display preferences such as font, text size, colors, auto-scroll, and panel size. These preferences remain in your browser and are not submitted to UUCF by that feature.
No analytics, advertising, or behavioral tracking
UUCF does not use website analytics, advertising pixels, cross-site behavioral tracking, targeted-advertising cookies, or similar tools to build profiles of visitors. We do not sell or rent personal information.
How UUCF uses information
UUCF uses information to respond to inquiries; coordinate visits, events, volunteering, congregational care, and governance; manage newsletter requests; operate member accounts and permissions; maintain profiles, services, calendars, library and inventory records, and other site content; send requested confirmations and transactional messages; protect the website; diagnose problems; and meet legitimate legal or congregational recordkeeping needs.
Public information and portal access
Public form submissions are not posted publicly. They are available only to authorized UUCF personnel and the congregational leaders who need them for the requested purpose. Portal information is restricted according to account permissions.
Names, biographies, photographs, leadership roles, organizer names, and similar information may appear on the public website when UUCF or the person’s profile settings designate them for public display. Portal users may manage supported public-profile choices or contact UUCF for assistance.
Service providers
UUCF uses service providers only as needed to operate the website and congregational tools:
- Heroku, a Salesforce company, provides application and database hosting.
- Amazon Web Services (AWS) provides public and private file storage and infrastructure used by authorized inventory processing.
- Google is used to synchronize newsletter sign-ups with a congregation-managed Google Sheet and may provide maps, fonts, YouTube content, and library metadata.
- Zepto Mail, a Zoho service, is used for transactional email when configured. Recipient addresses, message content, and technical delivery information are processed as needed to deliver and troubleshoot those messages.
- Stripe securely processes one-time donations. Donor identity, contact, and payment details are provided directly to Stripe; this website retains only the gift amount, payment date, processing mode, and identifiers needed to prevent duplicate records.
- OpenAI’s API is used in an authorized internal portal workflow to analyze inventory photographs and audio. It is not used to analyze general public browsing or public form submissions.
These providers process information under their own terms and privacy commitments. Embedded content, maps, videos, linked documents, and external websites may collect information independently when you use them; UUCF does not control their privacy practices.
When information may be shared
UUCF may share information with authorized staff and volunteers, the intended congregational recipient, and service providers needed to complete the requested purpose. Information may also be disclosed when required by law or when reasonably necessary to protect people, UUCF, or the security and integrity of the website. UUCF does not share personal information for third-party targeted advertising.
Retention
UUCF retains information only as long as reasonably needed for the purpose for which it was collected, congregational and historical records, account administration, security, dispute resolution, or legal obligations. Different records may therefore be retained for different periods. A deletion request may be limited when UUCF has a legitimate need or obligation to retain a record.
Security
UUCF uses reasonable administrative, technical, and access-control safeguards intended to protect information, including encrypted web connections, secure cookies in production, permission-restricted portal access, password hashing, and private storage for designated uploads. No website, transmission, or storage system can be guaranteed to be completely secure.
Children under 13
Public website forms are intended for adults and people age 13 or older. Children under 13 should not submit personal information directly through these forms. A parent or guardian may submit information on a child’s behalf for a legitimate congregational purpose.
If UUCF learns that a child under 13 submitted personal information directly, a parent or guardian may contact us to request review or deletion. This website does not currently use an age gate or represent that it operates a formal COPPA consent system.
Your choices and requests
You may ask UUCF to provide, correct, or delete personal information you submitted through the website. UUCF may need to verify your identity and may retain information when required for legitimate congregational, security, historical, or legal purposes. Newsletter recipients may unsubscribe through newsletter communications or by contacting UUCF.
Policy updates and contact
UUCF may update this policy as the website, service providers, or information practices change. The review date below identifies the current version. Questions and privacy requests can be sent through the contact form.
